In this role, you will be a member of the service administration team based in Budapest, providing administrative support for the operational Service Technical team and other internal and external stakeholders. The daily operation is coordinated by the Service Administration Coordinator and should comply to our company's internal standards and relevant industry certifications, including ISO 9001, AQAP 2110, and ISO 17025.

Your tasks

  • Keeping contact with customers, suppliers, service partners, and colleagues of the German HC or regional subsidiaries via phone, email in both Hungarian and English languages.
  • Handling repair and calibration administration processes.
  • Creating service offers, sending offers to customers, and managing and supporting related internal and external communication in a standardized way by using the corporate platforms.
  • Processing orders, preparing internal documents, and coordinating them.
  • Administering completed work, informing customers. Coordinating and organizing shipping, courier services, or personal deliveries if necessary.
  • Ordering, tracking, receiving, and issuing repair materials, licenses, and documentation necessary for service work.
  • Maintaining records of materials, tools, and documentation.
  • Providing administrative support for general office administration, work organization, and management tasks as needed.
  • Participating in training courses designated by the company.
  • Supporting the tasks of the service coordinator.
  • Performing reception duties.

Your qualifications

  • More than 2 years of experience in sales or service administration, good overview of administrative business processes
  • Knowledge of SAP system
  • Good knowledge of MS Office
  • Good teamwork and result-oriented skills
  • Native Hungarian language skills
  • English language skills, both spoken and written (B2)
  • Availability to travel abroad occasionally
  • University degree in Business administration, Logistics, Project management or Engineering, or comparable experiences in service administration, experience with international companies and shared service centers, knowledge of logistics and customs clearance processes and LEAN knowledge will be valued
